We act as your remote business office. We handle admin and operations tasks like answering leads, scheduling, follow-ups, invoicing support, and reporting so you can stay focused on the job site while your office side runs smoothly.

How is this different from hiring an in-house office assistant?
With us, you don’t have payroll, training, turnover, or downtime. You get a professional operations partner with systems already in place, and you only pay the flat monthly rate for your chosen package.

Contractors and service businesses: roofing, plumbing, HVAC, electrical, fencing, landscaping, remodeling, cleaning, and similar trades doing steady work but overwhelmed by admin.

Missed calls, slow responses, no follow-up on estimates, invoices not sent, customers waiting on a reply, and owners buried in admin instead of running the crew.

How will you communicate with me and my team?
Primarily by email and text, with scheduled check-in calls as needed. We agree on communication channels during onboarding so everyone knows where to message and what response times to expect.

Do you talk directly to my customers?
Yes, if you want us to. We can respond to leads, confirm appointments, send follow-up messages, and handle basic customer questions using scripts and guidelines you approve.

What hours do you work?
Standard business hours: Monday–Friday, 9am–5pm (CST). If you need special coverage windows, we can discuss that as an add-on.

How fast do you respond to leads or messages?
We aim to respond to new leads same business day during working hours. Part of onboarding is setting clear expectations around how quickly you want certain channels answered (phone, web forms, Facebook, etc.).

What are your monthly package options?
Admin Essentials – $449/mo Admin + Operations Management – $899/mo Full Business Office Department – $1,750/mo

Is there a contract or minimum term?
Yes. There is a 3-month minimum so we can properly set up systems and deliver results. After that, the agreement continues month-to-month with 30-day notice to cancel.

How do I pay for services?
Invoices are sent out and are due before services begin each month. We currently accept ACH/Bank Transfer.

Do you charge late fees?
Yes. A 5% late fee applies to invoices unpaid 5 days after the due date, and work may be paused until payment is caught up.
Tools, Data Security & Access:

What tools and platforms do you work with?
We work with common contractor and small business tools like Google Workspace, Microsoft 365, QuickBooks, Square, Stripe, PayPal, and job/lead systems.

Will you have access to my email, calendar, or CRM?
Only if you approve it. Many clients create separate logins or delegated access so we can manage scheduling, leads, and admin safely.

How do you handle my data and customer information?
We treat your business data as confidential. Information is only used to perform your services and is not shared or sold.

Can you help set up systems if I don’t have anything in place?
Yes. We can help you organize email, calendar, simple CRMs or spreadsheets, and basic workflows so that your operations are trackable instead of living in your head.
Getting Started & Onboarding

What does onboarding look like?
We start with a discovery call, then send you an e-signature service agreement and your first invoice. Once that’s completed, we walk through your tools, communication channels, and priorities and begin handling your admin and operations tasks.

How quickly can we get started?
In most cases we can begin within 5–7 business days after your agreement is signed and the first month is paid.

What do you need from me to be successful?
Clear access, honest info, and communication. We’ll need logins or delegated access, a list of key services you offer, your preferred scheduling/billing processes, and any scripts or standards you want us to represent.

What kind of results should I expect in the first 3 months?
Most contractors see less time stuck in admin, better follow-through on leads and estimates, cleaner invoicing, and a clearer view of pipeline and cash flow through your dashboard.
